How it works

From request letter to validated records.

Step 01

Request

Create a request from a case, medical review, or lead using your organization's letter templates.

Step 02

Deliver

Email the provider a secure link, or print a letter with a reference number and access code for mail or fax.

Step 03

Upload

The provider confirms a one-time passcode sent by email, reads the letter, and uploads the requested documents.

Step 04

Validate and close

Staff check the submission against the request, send back anything incomplete, and close the request.

Capabilities

Communication with providers that is secure and fully traceable.

Letter templates

Administrators author Word letter templates with a catalog of merge fields and placeholder validation. Every sent letter is archived to the record's documents.

Email and printed delivery

Email up to ten recipients per request, with per-recipient delivery status and automatic retry. A printed letter path covers mail and fax.

Verified, request-scoped access

Providers sign in with the secure link or a reference number and access code, then a six-digit email passcode. Access covers one request only, with timed sessions, lockouts, and rate limits.

Secure uploads

PDF, TIFF, image, and Word files up to 500 MB each and 5 GB per request. Every file is virus-scanned, and the provider receives a confirmation number on completion.

Due dates and reminders

Default due dates, automatic reminders at configurable intervals, first and second notices, and an overdue alert to the assigned staff member.

Full transparency

A milestone view shows when a request was sent, delivered, opened, signed into, viewed, uploaded to, and completed. Staff get a who, when, and what activity trail with CSV export. Providers see their own letters, notices, and activity.

Staff validation and closure

Validate checklist items, reject an incomplete submission back to the provider, reassign, cancel, close, or correct the provider's email address.

Request worklist

Work requests from My open, Overdue, Awaiting validation, and All views across cases, medical reviews, and leads.

Vendor intake queue

Records vendors can upload batches of documents. Staff triage each document and assign it to the right case, lead, or medical review.

FAQ

Common questions about AEGIS ISD Provider Portal.

Do providers need an account?

No. Providers open the secure link or enter the reference number and access code from their letter, then confirm a one-time passcode sent to their email. Access covers that one request only.

What if we do not have the provider's email address?

The letter is generated and archived for mail or fax. The printed letter includes the reference number and access code the provider needs to upload.

How are uploads protected?

Uploads are limited to document and image file types, scanned for viruses, and stored with the request. Each session is time-limited, and repeated failed sign-in attempts lock access.

Can we see whether the provider opened the request?

Yes. Staff see delivery, open, sign-in, letter-view, upload, and completion milestones, plus a detailed activity trail that can be exported.

Does the portal support two-way messaging?

Communication is through request letters, notices, and email reminders. Questions are handled through the contact details in your letter templates.
